A full CONNECT 1-2-1 delegate meeting management solution will include ...

* An initial meeting to draw up an event specification to determine the details of the 1-2-1 meeting session.  This will include - number of expected delegates, length of event, individual meeting times (15 – 30 minutes), logos and details for the individual meeting agendas.

* A website front end will be produced which will collect all delegate registrations, business details and collaboration wishes.

* The website will be made available under a renewable event licence via an agreed domain name and will be hosted by Allancia on its secure UK based server. 

* Allancia will supply the client with a logo under an agreed title such as CONNECT 1-2-1 at ‘XYZ event’ which will be hyperlinked off the clients main event website to the CONNECT 1-2-1 website.

* An on-line ‘catalogue’ of delegate participants and their cooperation wishes. (Business offers / requests)

* A ‘List of Participants’ section to enable rapid search and selection of meetings with interesting delegates. 

* An on-line meeting request logging system. 

* An on-line seminar booking system. (To avoid meeting conflicts) 

* A personalised ‘Congratulations’ e-mail for each meeting request made. 

* Individual counters for the number of delegates registered and 1-2-1 meetings selected. 

* Personal telephone contact with each registered delegate to welcome them to the event and explain how to use the event website and CONNECT 1-2-1 meeting selection systems.  

* Verification of all delegate registrations where each one is checked for correct spellings, grammar and content.

* Regular preparation and publishing of newsletters onto the home page of the CONNECT 1-2-1 website. 

* Preparation and distribution of regular bulk e-mail communications to all registered delegates re event developments / key messages. 

* A copy of each delegate’s registration form will be sent by e-mail to the client for action / invoicing. (An invoicing option can also be provided by Allancia - please ask for details). 

* At an agreed date and time Allancia will download all registered meeting requests and use its CONNECT 1-2-1 software to produce individual meeting agendas for each delegate. 

* The meeting agenda will be customised to reflect the client events corporate identity and key sponsors logos 

* Preparation and distribution to the client of a PDF report of all delegate A4 profiles.  This is usually sent 1 week before the event so the client can prepare an event catalogue. (A catalogue production option can also be provided by Allancia - please ask for details)

* Allancia will e-mail a PDF of all the delegate itineraries to the client before the event (usually 24 or 48 hours). 

* Allancia staff will attend the event to provide an ‘on-the day’ meeting room management service. 

* Allancia staff to handle any delegate questions and any meeting re-scheduling that may be caused due to any last minute delegate cancellations, no shows or late registrations.

* Allancia staff will also announce the change of each 1-2-1 meeting session

* Notification system to coordinate any new meetings or cancellations 

* Individual delegate 1-2-1 meeting score forms.

* A post event evaluation report will be prepared and sent to the client within 1 month of the end of the event. 

* An 'accept / decline' meetings option is also available for improved delegate meeting efficiency.

* Allancia can also produce (if required) individual delegate name badges that will be customised to the host event identity.
 

 
Please note that the client is responsible for all other aspects of the organisation and delivery of the host conference event programme including delegate recruitment.
